This Privacy Policy explains how Othmann Azoum Nexus ("we", "us", "our"), operating the webshop CustomLogoMats.eu, collects, uses, and protects your personal data when you visit our website or purchase our products. We are committed to handling your data in line with the EU General Data Protection Regulation (GDPR) and applicable Dutch data protection law.

2. What personal data we collect

Depending on how you interact with our webshop, we may collect the following categories of personal data:

  • Identity and contact data: name, company name, billing and delivery address, email address, phone number.
  • Order and customization data: products ordered, mat size/colour/material preferences, and any logo files, artwork, or brand assets you send us (by email or upload) to produce your custom mat.
  • Payment data: transaction details processed through our payment providers. We do not store full card numbers or payment credentials ourselves — these are handled directly by our payment processors (see Section 4).
  • Communication data: messages, quote requests, or support correspondence you send us (e.g. via email or the contact form).
  • Technical data: IP address, browser type, device information, and pages visited, collected automatically through our website hosting platform (Shopify) for security and basic site functionality.
  • Marketing preferences: if you opt in to receive newsletters or promotional emails (this is optional and requires your explicit consent).

We do not currently use analytics or advertising tracking tools (such as Google Analytics or Meta Pixel). If this changes, we will update this Privacy Policy and, where legally required, ask for your consent via a cookie banner before activating such tools.

We only use your logo or artwork files for the purpose of producing and quality-checking your custom mat order, and, where applicable, generating a digital preview for your approval. We do not use your logo or brand materials for any other purpose, and we do not sell or license your artwork to third parties.


4. Who we share your data with

We share personal data only with third parties who need it to help us run our webshop and fulfil your order, including:

  • Shopify (our e-commerce hosting platform), which processes order, account, and technical data on our behalf.
  • Payment service providers, including options such as Klarna, PayPal, Shop Pay, and card payment networks, which process your payment details directly.
  • Shipping and logistics partners, to deliver your order.
  • Production partners, where necessary to manufacture your custom mat.
  • Professional advisors (e.g. accountants), where necessary for legal or tax compliance.

All third parties who process personal data on our behalf are contractually bound (via data processing agreements) to protect your data and use it only for the purposes we specify, in line with GDPR requirements.

We do not sell your personal data to third parties.


5. International data transfers

As we sell internationally, some of the third parties listed above (such as payment providers or hosting infrastructure) may process data outside the European Economic Area (EEA). Where this happens, we ensure appropriate safeguards are in place, such as the European Commission's Standard Contractual Clauses, an adequacy decision, or another legally recognised transfer mechanism, so your data remains protected to EU standards.

If you are ordering from outside the EU, please note that we, as the data controller, are based in the Netherlands and process your data under GDPR regardless of your location.


6. How long we keep your data

We retain personal data only as long as necessary for the purposes described above:

  • Order and invoice data: retained for 7 years to comply with Dutch tax and bookkeeping obligations.
  • Logo/artwork files: retained for the duration of the order and warranty period (see our Terms of Service), after which they are deleted unless you ask us to keep them on file for reorders.
  • Marketing consent data: retained until you withdraw consent or unsubscribe.
  • Customer support correspondence: retained for a reasonable period to handle any follow-up questions or warranty claims, and then deleted or anonymised.

7. Your rights under the GDPR

As a data subject, you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data ("right to be forgotten"), where applicable;
  • Restrict or object to certain processing;
  • Data portability — receive your data in a structured, machine-readable format;
  • Withdraw consent at any time, where processing is based on consent (e.g. newsletters), without affecting the lawfulness of processing before withdrawal;
  • Lodge a complaint with a supervisory authority. In the Netherlands, this is the Autoriteit Persoonsgegevens(autoriteitpersoonsgegevens.nl). If you are located elsewhere in the EU, you may also complain to your local data protection authority.

8. Cookies

Our website may use essential cookies required for core functionality (such as keeping items in your shopping cart and enabling secure checkout via Shopify). We do not currently use analytics or marketing cookies. If we introduce such cookies in the future, we will update this policy and implement a cookie consent banner allowing you to accept or reject non-essential cookies, in line with the ePrivacy Directive and GDPR.


9. Children's privacy

Our products and services are intended for business customers and are not directed at children. We do not knowingly collect personal data from individuals under the age of 16.


10. Changes to this policy

We may update this Privacy Policy from time to time, for example to reflect changes in our tools, processors, or legal requirements. The "Last updated" date at the top of this page indicates when it was last revised. We encourage you to review this page periodically.
